Introduction
The Travel Unit Calculator is a practical tool designed to help project teams quickly and accurately estimate eligible travel costs for EU-funded projects, in line with the applicable European Commission decisions on unit costs for travel reimbursement.
Rather than manually consulting rate tables, this tool allows you to enter trip details and instantly receive a structured cost breakdown—covering travel, accommodation, and subsistence—ready for reporting.
Methodology & Rules
Input & Results The calculator requires key details including call dates, origin/destination, and travel times. Once submitted, the tool produces pre-formatted cost breakdowns that can be copied directly into your Excel cost statements or financial report templates.
Applicable Rules & Geographic Scope Unit costs are drawn from Commission Decisions C(2021)35, C(2023)4928, and C(2024)5405.
EU-27 Focus: This tool is primarily optimized for intra-EU-27 project mobility.
International Travel: For travel involving destinations outside the EU-27, please note that the calculator applies a generic accommodation and subsistence rate as per the standard international scales.
Travel Period Cap: Eligible accommodation and subsistence are capped at the event duration plus a maximum of one extra night / two extra days. The tool automatically applies this cap and flags it with a warning if exceeded.
Distance Boundaries: If a calculated distance falls within 1% of a band boundary, a caution notice will appear. In these cases, we recommend cross-checking with the Official EC Distance Tool.
